Unlocking the power of collaboration with Microsoft Teams Rooms

Maximize hybrid work with Microsoft Teams Rooms!

Rooms that work for everyone

As innovations continue to shape the evolving workplace, certain fundamental business priorities remain unchanged. Organizations must still unite teams to strategize, solve problems, and plan for growth. In an increasingly hybrid work environment, maintaining connection, enhancing efficiency, and boosting productivity—while controlling costs—is more crucial than ever. 54% of leaders are either redesigning meeting spaces for hybrid work or plan to do so in the coming year.

Microsoft Teams Rooms helps eliminate the barriers between locations and people, offering consistent meeting experiences for all participants. By fostering inclusivity and providing tools that work uniformly across different environments, it empowers employees—whether remote, on-site, or traveling—to contribute effectively, driving both productivity and business success.

I’m focused on making sure we’re maximizing the productivity of this hybrid way of working. To do that, we’re deploying Teams and Teams Rooms systems across our global enterprise. Regardless of what room type a person is in or what country they join from, they’ll encounter standard equipment and a familiar experience.

Optimize your meeting spaces for increased flexibility

Organizing a seamless hybrid meeting can be a daunting task. One of the biggest challenges is ensuring that all participants can see, hear, and interact with their colleagues, regardless of group size or location. Hosting a company-wide webinar is vastly different from facilitating a brainstorming session or conducting a meet-and-greet for new hires. Properly configuring visual and audio settings is essential to enable full participation, but transitioning between various formats can easily create confusion.

Teams Rooms devices offer a wide range of form factors, from highly customizable kits adaptable to any room size to integrated solutions that combine the computer, microphone, speaker, and camera into a single compact, easy-to-deploy device.

  • Small rooms are perfect for groups of three to five people to share spontaneous ideas on whiteboards, either within Teams or using integrated whiteboarding devices like the Surface Hub.

  • Medium-sized rooms accommodate up to 11 on-site participants, with the ability to connect many more online.

  • Large rooms, designed for 18 or more attendees, offer the option to add a second screen, ensuring everyone can see both participants and content. Additionally, a smart camera can be used to automatically focus on speakers, enhancing the meeting experience.

Effortless Collaboration and Sharing

With just a single tap, you can join and participate from your computer, phone, or tablet. Once in the room, anyone can effortlessly share content from their personal device—no need for complex cables, wires, or controllers—or use a shared digital canvas to collaborate, sketching ideas for everyone to see.

With a content camera and AI processing, physical objects like whiteboards or books can be displayed on screen in vibrant, clear detail. Microsoft’s voice-recognition technology ensures that speakers are identified by name in the transcript, allowing team members to stay engaged during the meeting and easily reference the transcript afterward.

Teams Rooms is helping create inclusive environments for everyone in the meeting rooms and at home. It’s very exciting for us because participants can co-create, share content, and make updates in real time as if they’re all together in the same room.

Everyone has a front-row view

Teams Rooms offers a front-row meeting layout that places all participants at eye level, simulating an in-person experience rather than displaying stacked headshots. Team members can present content simultaneously, enabling optimal virtual collaboration.

Chat comments are displayed on the side and can be adjusted to fit any screen size, including large conference-room displays, ensuring everyone can easily follow the conversation. A convenient hand-raise feature encourages active participation, ensuring every idea gets heard.

Connect to third-party solutions

Teams Rooms isn’t limited to just Teams meetings; it’s designed for seamless interoperability. With Direct Guest Join, participants can easily join meetings hosted on other platforms without needing to learn new tools. They can continue using Teams for audio and video controls, preserving a familiar experience. The Coordinated Meetings feature, compatible with Surface Hub and Teams devices, automatically configures cameras, speakers, and microphones to optimize the meeting experience in any room, eliminating common issues like echoes and background noise.
